IITK65 Reunion Org – Charter

As approved during the meeting at Palm Springs, CA – on November 3, 2018

Objective

  • The IITK 65 Batch Reunion Organization is a social club formed by the 1970 graduating class from the Indian Institute of Technology, Kanpur, India (IIT/K).
  • The objective of this club is to be an umbrella organization to promote, facilitate and organize annual social reunions for the members of the club. The organization seeks volunteers/champions to organize each reunion, and mentors, coaches and assists the volunteers with the reunion.
  • The site/type/mode and venue of each annual reunion is selected by the members of the club. It could be anywhere in the world –  at a hotel or vacation resort, or it could be a cruise.
  • The annual reunion is open to all club members, family and friends.
  • The local organizers of each reunion are responsible for determining the activities and budget and for collecting the funds from each participant and disbursing the funds to cover the expenses.
  • The club has a bank account which is made available to the local organizers for collecting and disbursing funds. The use of the bank account is expected to add transparency and convenience.  In return, each reunion is requested to leave a surplus of about $500.
  • The bank account is a checking account.  The primary purpose of the account is to collect funds from attendees at a reunion and to pay for the expenses.  By a consensus of the members, any surplus funds from the reunion could also be used for alumni donations to IIT/K, other charitable causes, or purposes that promote the cause of the club or adds to the enjoyment of its members.
  • There are no membership fees, and no other services are offered by the club.
  • The club does not perform any fund raising, lobbying, or any political activities.

Membership

  • The membership is comprised of alumni from the 1965 batch (starting year) aka class of 1970 (year of graduation) who graduated from the Indian Institute of Technology, Kanpur India.

Leadership Roles

The club has the following leadership roles:

  • Organization Leader: He serves as the overall leader of the organization.  His functions include leading the meetings to seek venues/ organizers/champions for reunions, coaching and mentoring the organizers, etc.
  • Deputy Leader / Communications Manager: Supports the leader and acts as a backup.  Also communicates with the members regarding the organization
  • Treasurer: Handles the finances of the organization, filing annual IRS documents, etc.

Leadership Selections

The above leaders are selected based on volunteering and nominations.  There is no set term limit.  Leaders are selected by consensus at each reunion.

Adoption and Amendment of Charter

This charter can be adopted or amended at reunions attended by a quorum of at least 10 members.  It becomes effective when adopted by the vote of more than 2/3 of the members present.  It can be amended by the vote of more than 2/3 of the members present.
